Salary: $29-$33/hr

Schedule: Tuesday-Thursday 9 a.m. – 3 p.m. in office, other hours/locations are flexible.

Position

St. Barnabas Episcopal Church in Montgomery, Ohio seeks a part-time Finance Administrator. The Finance Administrator maintains and updates church financial records in a timely and accurate manner, following the church’s financial policies and procedures. Financial records include donor records, cash disbursements, accounts payable, accounts receivable, payroll, financial reports, budgets, and donor-restricted fund records. The Finance Administrator also assists with preparations for the church’s annual budget and annual financial audit. The Finance Administrator works with confidential information and must respect the privacy and confidences of church staff and church members. This is a part-time position with retirement benefits.

Qualifications and Skills

The Successful candidate will have: 

  • Associate’s or bachelor’s degree in bookkeeping, accounting, or related field from an accredited college or university or comparable experience. 

  • Three-plus years of related experience preferably in a church or non-profit setting. 

  • Thorough understanding of bookkeeping and basic accounting rules. 

  • Proficiency with office and accounting software, i.e., Quickbooks Accounting.

  • Experience with payroll required; experience with Paychex preferred.

  • Experience with church management systems and data management software such as Tithely and Elevanto preferred.

  • Proficiency with Microsoft Office, including Excel, Word, and Outlook required.

  • Good oral and written communication skills .

  • A proven record of trustworthiness and honesty; must be able to pass a criminal background check. 

  • Ability to maintain confidentiality and be bonded .

  • Ability to work with others, including staff, members, and volunteers, in a supportive, collegial team relationship supporting the ministries and mission of the church.

  • Ability to meet deadlines, work independently, and manage time efficiently.

Licensing requirements

Applicant must submit a federal background check and have the ability to obtain a valid Ohio driver’s license and must have current auto insurance at the state-required minimum.

Job Responsibilities and Duties

The responsibilities of the Finance Administrator include, but are not limited to:

Accounts Receivable

  • Work with other staff and volunteers to count, record, and deposit weekly offerings and all other financial contributions and payments.

  • Work with volunteers to post contributions to donor’s giving records.

  • Maintain records of donor-specific gifts, ensuring that funds are disbursed according to donor expectations with accurate and timely reporting.

Accounts Payable

  • Perform timely and accurate preparation of checks and online payments to vendors and reimbursements to staff and parishioners

Payroll 

  • Process payroll for church staff and contractor payments, including quarterly reporting as required by law and issuing year-end W-2 and 1099 forms.

  • Make payments for medical, retirement, or pension benefits for employees who are eligible. Keep accurate records with the Church Pension Fund.

Stewardship (donations)

  • Maintain records of donor gifts accurately with timely quarterly and annual reporting to contributors about the status of pledges and other giving.

  • Maintain Stewardship records and generate reports to the Finance Committee.

  • Support the Treasurer, Finance Committee, Vestry and others to ensure the timely execution of annual donations (stewardship) campaigns in order to request financial pledges from the congregation.

  • Assist Treasurer with annual budget preparation.

  • Establish trusting relationships with congregation members to discuss financial pledges and request financial pledges all the while maintaining confidentiality.

Financial Oversight

  • Prepare monthly, quarterly, and annual financial reports.

  • Ensure the integrity of the church’s financial operations, maintaining efficient internal controls following the church’s financial policies and procedures; maintain records.

  • Comply with State and Federal laws applicable to position responsibilities.

  • Work with the Treasurer and Auditor to prepare for annual financial audit, including implementation of any audit recommendations.

  • Coordinate with clergy requests for benevolence ministries, including record keeping.

  • Maintain endowment records and process transactions as directed by the Legacy/Endowment Committee.

Meetings

  • Attend weekly staff meetings.

  • Meet regularly with Treasurer and other Finance Team Leaders.

  • May be required to attend weekend or evening events or meetings from time to time. 

  • Other duties as assigned, as the needs of the church evolve.

Hiring requirements

Applicant must have excellent computer skills, experience in financial bookkeeping, the ability to work occasional evenings and weekends, and must complete diocesan training in misconduct and abuse prevention.

Physical requirements

This position frequently requires the employee to stand, sit, and walk; talk and hear; reach with arms and hands; read emails, files, instruction manuals, and a variety of correspondence; and use fingers and hands in a variety of tasks, including writing and and reading on a computer. This position occasionally requires lifting and moving up to 20 pounds, maneuvering stairs, and navigating a variety of environments. This position requires the ability to read paper and digital documents and understand materials related to financial management. Vision abilities required by this job include close vision for use of a computer, ability to read materials related to financial management.

Weekly Hours

This position is part-time up to 21 hours per week or 84 per month.
